Member Management gives you the ability to run a membership system and an accounts system linked to your bookings.

  • Ability to store information on members in a membership database, to suit your own requirements including name, address, other information may be added if you wish in user defined fields, e.g. date of birth, height, marital status.

  • Ability to set up accounts with credit limits. Staff can link members to accounts so that members are privileged to use one or more of the accounts on the system. For example a member “John Smith” may be the league secretary for “Rovers Football Club” and for “Giants Rugby Club” in which case that member can use both these accounts.

  • Works with the internet self-service booking facilities in BookingOffice to allow staff to limit bookings to “members-only” for any or all facilities.

  • Members can manage their own accounts via your web site. You can tell the system to issue members with a secure user id and password through which they can access their own account(s) over the internet.

  • Members can use their secure user id and password to make or pay for bookings, or charge them to an account (subject to you granting them the appropriate permissions), all via the internet.

  • The system keeps account histories – shows bookings, booking alterations, payments, balance, which may be viewed by staff and also by members of that account self-service over the internet.

  • Members can view and/or cancel their own bookings over the internet (provided that the system cancellation rules for this booking do not prohibit it).

  • Staff can book on behalf of members and manage the accounts.

  • Staff can carry out mail merges, for example: this allows notifications to be sent to members, e.g. if a facility is unplayable either by email or by letter. Another example would be to send letters and/or emails to members e.g. confirmation letters for seasonal bookings.

  • Information is maintained in standard database formats enabling anyone with Access or Crystal Reports skills to create a variety of reports to suit their individual needs.
